Common Team Management Tasks
Changing a role: Click the role dropdown next to any team member and select the new role. Changes take effect immediately.
Removing a member: Click the remove icon. The user immediately loses access. Their past activity (deal updates, notes, conversation responses) is preserved.
Resending an invitation: If an invitation expired (7 days), click Resend next to the pending invitation.
Viewing activity: Click any team member's name to see their recent activity: deals created, deals moved, conversations responded to, and last login date.
Best Practices
Give estimators the Member role. They need to view and update deals but shouldn't change pipeline structure or chatbot settings.
Give your office manager the Manager role. They need full operational control without access to billing.
Use Billing Admin for finance teammates. They can manage invoices, payment methods, and plan changes without taking full operational ownership.
Use Viewer for accountants or partners. They need visibility into pipeline value and revenue without the ability to modify anything.
Review active users quarterly. Remove team members who no longer work with you to keep your account clean and secure.
FAQ
What happens if I'm on the Starter plan and need more than 1 seat? Upgrade to Growth ($149/mo) for up to 5 seats, or Scale ($349/mo) for unlimited seats. See Plans and Pricing.
Why do I see Member in the app and Agent in some exports?
The app label is Member. Some older exports or internal records may use the role code agent; they refer to the same everyday team role.
Can I transfer account ownership? Yes. Email [email protected] with the current and new owner's email addresses. Both parties must confirm.
Is there an activity log for compliance? Every action in CustomerFlows is logged with timestamps and the user who performed it. The activity log is visible in deal detail views and will be available as an exportable audit log in a future release.
